How Calendar Alarms Work

When you import events from your calendar, ZeroMiss can create alarms that give you time to prepare, not just a last-minute reminder.

Setting Up Event Alarms

Step 1: Browse Your Calendar

  1. Go to the Calendar tab
  2. Your synced calendars appear automatically
  3. Browse upcoming events
  4. Select events you want alarms for

Step 2: Choose Lead Time

Set how much advance notice you need:

  • 5 minutes - Quick reminders
  • 15 minutes - Standard preparation
  • 30 minutes - Time to wrap up current task
  • 1 hour - Major preparation needed
  • Custom - Set your own time

Step 3: Create Alarms

  1. Select one or more events
  2. Choose your lead time
  3. Tap Create Alarms
  4. Alarms are added to your autosync topic

Types of Event Alarms

Meeting Preparation

For work meetings:

  • 15-minute warning to review agenda
  • 30-minute alert to finish current task
  • 1-hour notice for important presentations

Appointment Reminders

For appointments:

  • 30 minutes to get ready
  • 1 hour if you need to prepare documents
  • 2 hours for medical appointments

Virtual vs In-Person

Different timing needs:

  • Virtual: 5-10 minutes to join
  • In-Person: 30+ minutes to account for being there

Managing Recurring Events

Series Alarms

For recurring meetings:

  1. Select the event series
  2. Choose “Apply to all occurrences”
  3. Set consistent lead time
  4. All future events get alarms

Individual Adjustments

Customize specific occurrences:

  1. Find the specific date
  2. Edit that alarm only
  3. Other occurrences unchanged
  4. Perfect for exceptions

Topic Organization

Calendar alarms go into autosync topics:

  • Separate from manual alarms
  • Organized by calendar
  • Easy to identify
  • Bulk management

Lead Time Guidelines

Choose appropriate preparation time:

  • Routine meetings: 5-15 minutes
  • Client calls: 15-30 minutes

Multiple Alarms

Calendar Integration

Through Apple Calendar:

  • iCloud calendars

  • Any CalDAV calendar

Selective Sync

Choose what to sync:

  • Select specific calendars
  • Filter by event type
  • Skip all-day events
  • Focus on what matters

Troubleshooting

Events Not Showing?

Check:

  1. Calendar is synced in Apple Calendar
  2. Calendar selected in ZeroMiss
  3. Events are in the future
  4. Not all-day events

Need to Update Alarms?

When events change:

  1. Manually update the alarm time
  2. Or delete and recreate from the calendar
  3. Browse calendar for new events
  4. Create alarms as needed

Duplicate Alarms?

Prevent duplicates:

  1. Don’t manually create for synced events
  2. Use autosync topics only
  3. Check before importing
  4. Remove manual copies
